Front Desk Coordinator

Kendricks Bordeau, P.C. ,a law firm located in Marquette, Michigan, is seeking an organized and personable Front Desk Coordinator to be the first point of contact for our clients and visitors, and to provide essential administrative support to our legal team.

Responsibilities

The Front Desk Coordinator is the face and voice of the firm, with these main duties:

  • Client and Visitor Reception: Warmly greet and direct all clients, visitors, and vendors. Maintain a professional and welcoming lobby area and conference rooms.
  • Manage Calls: Manage a multi-line phone system, directing calls and taking accurate messages.
  • Document and File Management: Assist legal and administrative staff with copying, scanning, binding, and organizing documents and client files. Maintain supplies and inventory for the office, kitchen, and printing areas.
  • Data Entry: Perform routine data entry and assist with updating client contact information in our case management system.
  • Administrative Support: Manage incoming and outgoing mail, email, voice mail, and courier deliveries. Assist with scheduling conference rooms and managing the firm-wide calendar.
  • Special Projects: Assist the Business Administrator and other staff with various administrative and project-based tasks as needed.

Qualifications

We are willing to train the right person. Preferred candidates will possess:

  • Experience in Customer Service: At least 1-2 years of experience providing customer service in a front desk, administrative, or reception role (in a professional office setting is a plus).
  • Computer Skills: Proficiency in Microsoft Office (Word, Excel, Outlook). Experience with legal software or case management systems is beneficial.
  • Organizational Skills: Strong organizational skills and attention to detail.
  • Multi-tasking Ability: Proven ability to manage multiple priorities and switch focus in a fast-paced environment while maintaining a calm, positive attitude.
  • Education: High school diploma or equivalent required; an associate or bachelor’s degree is a plus.
